Vacancy: Part-time Office Administrator

We’re looking for a part-time Office Administrator to join the Glasgow Wood team!

 

 

We’re looking for someone who can jump right in and help us to process orders, deal with enquiries and be an amazing customer-facing representative of Glasgow Wood. It’s essential that you have experience or aptitude for office work, a busy working and/or volunteering environment, and retail or sales experience would be desirable.

Job Description

A key responsibility as office administrator will be to contribute towards ensuring the administrative side of Glasgow Wood runs efficiently. This includes professionally processing customer queries / orders, either by phone call, email or in person. On top of this, you will play a key role liaising with our retail staff, thus ensuing the space is tidy, and appropriately laid out for customers.

About Glasgow Wood

Glasgow Wood is a social enterprise and charity, established in 2006. We aim to contribute towards achieving a sustainable and environmentally friendly planet, by reducing the amount of wood going to landfill through our regular waste wood collection service we carry out, both for businesses and members of the public. This is intended to discourage waste going to landfill.
The wood waste that we collect from all over Glasgow and beyond, is gathered and sorted on our premises. We then either sell the wood collected from our retail space, or reuse the wood to contribute towards making quality furniture and other products. This can be for customers, businesses or social sector organisations.
A key pillar of Glasgow Wood is the volunteering opportunities provided, to help unemployment and social exclusion. Under supervision of staff, our volunteers participate in workshop activities, help with delivery/ collection services, and stock our retail area.

Key Responsibilities

  • To provide high quality front of house service to customers in person and over the phone.
  • Processing enquiries, quotes & payments.
  • To maintain accurate filing systems & keep up to date record of sales and order information.
  • To contribute to the day-to-day retail management, ensuring the office and retail environment is attractive to both customers and staff.
  • Be willing to support volunteers and trainees.
  • To liaise with retail staff to ensure the retail space is continually maintained.

Key Skills

  • Excellent customer service and communication skills.
  • Be flexible and able to complete tasks when asked at short notice.
  • Confident with I.T. including using, emails Microsoft excel/ word and Xero – full training will be provided.
  • Competent time management skills, and able to prioritise tasks.
  • Appropriate literacy and numeracy skills.

Experience & Knowledge

  • Essential that candidates have some experience of office work, with retail experience being desirable.
  • A passion for working with customers.
  • Good communication skills, both in person and over the phone.
  • An awareness of the importance of environmental sustainability.
  • An understanding of the challenges involved working for a social enterprise.
  • Experience of working with wood is desirable, but not essential.
  • Experience of working in a volunteering environment is desirable, but not essential.

  • Xero training

 

Terms of contract

This role is subject to a 6-month probationary period. During this time, performance, attendance, and suitability for the role will be reviewed in the context of the role’s contribution to organisational & financial performance and operational needs. A review will take place at the end of the probation period to confirm continued employment in line with organisational requirements.

Rate of Pay

£22,932.00 per annum

 

Hours

Mon (9am-5pm)
Wed (9am-5pm)
Fri (9am-4pm)
Occasional cover work on Saturday would be required, but notice would be given.

You will receive a 15-minute break in the morning and afternoon, and a 45 minute lunch break.
